Resource Bookings should notify of clash

When entering a large number of bookings/recurring bookings, the message states any previous bookings will be overwritten with the new booking. This means we have to manually check every week before entering the booking, instead of the system telling us there is a clash of dates. The original bookings should take precedence and remain in the system with a flag for the new booking advising of the clash.

Agreed and manual checking puts more pressure on staff. Automating the process makes sense. As schools and resource admins may want to handle a booking clash in more than one way it would be good for Compass to provide some configuration options for how clashes are handled. Another option may be to flag booking clashes for authorisation by a bookings admin, with a business case/reason attached also sent to the original booker.

Gavin I agree, rather than a generic "this will override an existing booking" the page should only show that kind of message when there's an actual clash. Otherwise we're once again training users to ignore cautions because there's no relevance to the current situation.

Agreed. Perhaps a notification could be sent to the person who made the booking stating there has been a request for the same resource... change/someone would like to swap with them. Just an opportunity for professional courtesy. If agreed to then a notice goes out to alert staff of the change - just a thought

Helen SPARGO That's a great idea, an email to both users advising a clash has been implemented by x user and also which user had the original booking.
Alternatively, if that isn't feasible, an email of the double booking should go to a moderator of the resource who can be nominated.
